Shipping Policy

1. Shipping from Europe
All Pepspan orders are fulfilled and shipped from our facility in Europe. By shipping from within the European Union, we ensure that your orders benefit from the EU single market, meaning no customs duties, import taxes, or border delays for deliveries within EU member states.
Our German-based operations allow us to maintain strict quality control throughout the fulfillment process, from storage conditions to final packaging, ensuring your research materials arrive in optimal condition.
2. EU Delivery
Standard delivery to all EU member states takes 2-5 business days from the date of shipment. Delivery times may vary depending on the destination country:
- Germany: 1-2 business days
- Western Europe (France, Netherlands, Belgium, Austria, Luxembourg): 2-3 business days
- Southern Europe (Spain, Italy, Portugal, Greece): 3-4 business days
- Northern Europe (Sweden, Finland, Denmark, Ireland): 3-4 business days
- Eastern Europe (Poland, Czech Republic, Romania, Bulgaria, etc.): 3-5 business days
These timeframes are estimates based on typical carrier performance and begin from the date of shipment, not the date of order placement. Business days exclude weekends and public holidays.
3. Free Shipping
Free standard shipping is available on all orders with a total value of EUR 100 or more (before any discounts). Orders below EUR 100 are subject to a flat shipping fee of EUR 9.90 for standard EU delivery.
Free shipping applies to the standard delivery option only. Express or priority shipping upgrades, when available, may incur additional charges regardless of order value.
4. Tracked Shipping
All orders are shipped with full tracking. Once your order has been dispatched, you will receive a shipping confirmation email containing your tracking number and a link to the carrier's tracking page. You can use this tracking number to monitor the progress of your delivery in real time.
If you do not receive a tracking notification within 3 business days of placing your order, please check your spam folder first and then contact our support team for assistance.
5. Packaging
We take great care in packaging your research materials to ensure they arrive safely and in excellent condition:
- Discrete packaging: All orders are shipped in plain, unmarked boxes or padded envelopes with no external branding or product descriptions visible on the exterior. Only the shipping label and required carrier markings are displayed.
- Temperature-appropriate: Lyophilized (freeze-dried) peptides are stable at room temperature during transit and do not require cold chain shipping. However, during periods of extreme heat, we may include insulated packaging or cold packs at our discretion to provide additional protection.
- Protective materials: Individual vials are wrapped in protective foam or bubble packaging to prevent breakage during transit. Products are secured within the outer packaging to minimize movement.
- Documentation: Each order includes a packing slip listing the products ordered. Certificates of Analysis (COAs) are available for download from your order confirmation email or upon request.
6. Countries Served
Pepspan currently ships to all 27 EU member states:
Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, Netherlands, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, and Sweden.
We also ship to European Economic Area (EEA) countries: Norway, Iceland, and Liechtenstein. Delivery times to EEA countries may be slightly longer (4-7 business days), and additional customs procedures may apply.
7. Non-EU Shipping
Pepspan does not currently offer shipping to countries outside the European Union and EEA. We are unable to process orders with non-EU/EEA shipping addresses. This restriction is in place due to the varying regulatory requirements for research chemical imports across different jurisdictions.
We are evaluating the possibility of expanding our shipping coverage to additional countries in the future. If you are located outside the EU/EEA and are interested in our products, please contact us to be notified when shipping to your region becomes available.
8. Processing Time
Orders are processed within 1-2 business days of payment confirmation. Processing includes order verification, product picking, quality check, and packaging. Orders placed before 14:00 CET on business days are typically processed the same day.
During periods of high demand or around public holidays, processing times may be extended by an additional 1-2 business days. If a significant delay is expected, we will notify you by email with an updated estimated dispatch date.
Orders are not processed or shipped on weekends (Saturday and Sunday) or German public holidays.
9. Lost or Damaged Shipments
If your order has not arrived within 10 business days of the shipping confirmation, or if it arrives damaged, please contact us within 14 days of the expected delivery date. We will investigate the issue with the carrier and take appropriate action, which may include:
- Lost shipments: We will file a claim with the carrier and, once the loss is confirmed, either reship your order at no additional cost or issue a full refund at your preference.
- Damaged shipments: Please take photographs of the damaged packaging and products before discarding anything. We will arrange a replacement shipment or refund upon verification of the damage. Do not dispose of damaged goods until we confirm the claim process is complete.
Pepspan is not responsible for delays or losses caused by incorrect shipping addresses provided by the customer. Please double-check your shipping details before completing your order.
